Map who needs to do what
List the people who need access and the actions each person must perform. Distinguish an occasional reviewer from someone who creates, edits or administers work. Use the provider's definitions rather than assuming that a guest, viewer or external collaborator is always free. A useful access map can reveal that the cheapest advertised package needs extra seats to complete the intended workflow, or that a larger package includes capabilities you do not need.
Count workspaces and projects separately
Check whether the subscription covers one workspace, one published site, several projects or the entire organization. Count the number of independent places where your team will work. Ask whether moving a collaborator between workspaces changes billing and whether separate customer projects need separate subscriptions. These are questions to verify for the chosen provider, not universal rules. Record the answer beside the seat count so that two quotes use the same organizational arrangement.
Check seat changes during the term
Find out what happens when a person joins, leaves or changes role partway through a billing period. Review any proration, minimum seat commitment or renewal adjustment described by the provider. Budget for the likely team size during the contract, not only the people present on the day of purchase. Do not assume that removing an account produces an immediate refund or that an unused annual seat can always be transferred.
Include permissions and administration
Confirm the controls needed to run the account responsibly: who can invite users, change billing, export information or cancel the subscription. If a required control belongs to another package, include that package in both the price and feature comparison. Keep account ownership with an appropriate organizational contact instead of relying on an employee's personal payment account. That makes the subscription easier to maintain when roles change.
Reconcile the quote with the invoice
Before paying, compare the final invoice with the seat map, workspace count, selected features and billing term. Record the renewal contact and the next point at which the commitment can be changed. Recheck access periodically to remove unnecessary permissions even when a billing reduction must wait until renewal. Use a dated provider quote as the price reference; this guide does not establish current per-seat prices for any service.
References and current provider terms
